Overview
VetPilot is a local-first veterinary reference application. Core clinical entries remain on your device by default.
Depending on build configuration and enabled features, VetPilot may process limited account and operational data on VetPilot-operated servers for authentication, security, and service reliability.
If you use AI-assisted workflows (for example, intake normalization, lab text recovery, or lab attachment interpretation), selected user-provided text, files, and processing metadata may be transmitted to VetPilot-operated servers to generate results.
Optional text recognition uses on-device machine learning models (including Google ML Kit). Images and extracted text are processed locally by the app. To download or update on-device models, your device may connect directly to Google services. Google may process limited technical data (for example, IP address, device/app metadata, and model download diagnostics) under Google's own terms and privacy policy. VetPilot does not receive your images or extracted text from this process.
VetPilot does not control Google's independent data practices. Any Google-side processing is governed by Google's own terms and privacy policy.
1) Information we collect (current build)
- If account connection is enabled and you sign in, VetPilot processes account identifiers (for example, email), session tokens, and device/session metadata required for secure sign-in and account lifecycle operations.
- VetPilot may process limited operational telemetry for reliability and abuse prevention (for example, event type, timestamp, app version, route/feature metadata, auth flow outcome).
- VetPilot does not intentionally collect patient names, owner names, phone numbers, addresses, chart numbers, or free-text clinical notes in server-side telemetry streams.
- If you use AI-assisted workflows, VetPilot may process submitted clinical text, structured fields, and attached lab files required to return the requested output.
- If you enter patient context (e.g., name, species, weight) or export profile details (e.g., clinician name, clinic, license), this information is stored locally on your device unless you explicitly export/share it.
- Remote push notifications from VetPilot servers are not used in the current release.
- Operational diagnostics logs are stored locally and rotated automatically after approximately 30 days or 5 MB.
- Feature availability varies by build. Some builds can run without account registration.
2) On-device processing and third-party SDK behavior
- Optional text recognition features use on-device machine learning models (e.g., Google ML Kit). Images and extracted text are processed locally in the app.
- VetPilot does not transmit your images or extracted text to VetPilot servers.
- For model provisioning or updates, your device may communicate directly with Google services. Any Google-side processing is governed by Google's own policies and not by VetPilot's server infrastructure.
- If you choose to export or share content, data leaves your device only through the channel you select. VetPilot does not receive a copy.
3) Data sharing
- VetPilot does not sell personal data.
- VetPilot does not disclose identifiable clinical content to third parties from VetPilot-operated systems for advertising.
- Any sharing you initiate is under your control.
4) Data retention and security
- Local data remains on your device until deleted by you or removed through app uninstallation.
- Account records are retained for account lifetime and removed on account deletion request.
- Server operational logs use finite retention by design: ingest events up to 730 days and decision traces up to 90 days.
- Account deletion purge target is within 72 hours for active systems; backup expiration target is within 90 days.
- You can request account deletion in-app when account features are enabled.
- Device-level backups (e.g., platform backups) are controlled by you and your platform provider.
- You are responsible for securing your device (passcode, biometrics, and OS settings).
5) Subscriptions and feature changes
- In-app subscriptions are disabled in the current release.
- If future releases change data handling or enable additional paid/online capabilities, VetPilot will provide updated disclosures before those changes are activated.
6) Regional rights
- If future versions involve processing personal data on VetPilot-operated servers, VetPilot will comply with applicable privacy laws in relevant jurisdictions.
